Moleac is a biopharmaceutical company with headquarters in Biopolis, Singapore.
Moleac’s vision is to help patients with neurological conditions and brain injuries reconnect with their lives by developing therapeutic solutions to improve independence and quality of life. Our products are now available in 40 countries. We have a staff strength of 40 in Singapore comprising a multitude of different nationalities and cultural background.

RESPONSIBILITIES

You will play a key role of assisting the CEO, overseeing office management, and performing HR and other administrative tasks.

Assistant to CEO

> You will manage the CEO’s calendar ensuring that external appointments and internal meetings are scheduled ahead of time bearing in mind time zones and public holidays across countries, and changes are managed to minimize disruptions to all concerned. You will prepare business expense claims promptly.

Office Management

You will be responsible for several areas including:

> Ensuring office equipment in common areas and meeting rooms are always fit for use.
> Upkeeping the professional appearance and safe practices of office premises.
> Liaising with building management, contractors, and suppliers.
> Ensuring stationery and pantry supplies are in good order
> Receiving visitors and candidates as they arrive and making sure that rooms are prepared for meetings
> Answering incoming calls to the main line.
> Organizing employees’ events such as monthly group lunch and birthday celebrations, monthly business review meetings, offsites and all-staff forums, etc.
> Making travel arrangements such as booking flights and visa applications for employees, distributors and doctors

HR and other administrative tasks

You will perform the following tasks:

> Maintaining legal and patent E-filing
> Maintaining the personal files of individual employees
> Keeping records of annual leave, sick leave, and other forms of leave in accordance with the Company Policies
> Coordinating the onboarding and exit processes of employees.
> Applying and renewing Employee Passes – S Pass, Work Holiday pass, etc.
> Renewal of the Medical and Travel insurance policies and monitoring claims
> Maintenance and updates of HR policies and handbook

REQUIREMENTS

5+ years of relevant professional experience
> Good communication and interpersonal skills
> Good command of English both verbal and written.
> Ability to multitask.
> Expert proficiency in Office Suite
> Singapore Citizen or Permanent Resident.
