Department: Marketing
You will be responsible for organizing events and overseeing the company’s presence and activities at major conferences, such as the World Stroke Conference and the European Stroke Conference, as well as regional and corporate events.
The candidate will be part of the Global Marketing Team and will work closely with the rest of the Team and the Commercial Team to ensure effective planning and management of all aspects of the defined list of events.
This position enables the Event Executive to take full responsibility for organizing Moleac’s presence at key events. It also involves significant responsibility in budget management. The Event Executive will travel regionally and internationally 3 to 4 times per year, depending on the company’s strategy.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Communicating with managers and conference organizers, agreeing on strategies and annual investment lists.
- Producing detailed proposals for events, defining timelines, venues, suppliers, staffing, and budgets.
- Leading the organization of conferences and symposia regionally and internationally.
- Participating onsite at selected international events and conferences.
- Identifying and securing speakers and special guests, with the support of managers.
- Securing and booking suitable venues or locations.
- Coordinating venue management, ensuring that the company’s exhibition booths are booked, set up, and equipped.
- Planning room layouts and entertainment programs for workshops.
- Coordinating staffing requirements and conducting staff briefings.
- Collaborating with web designers to create event branding and overseeing the production of posters, catalogues, and brochures.
- Coordinating suppliers, managing delegate and colleague queries, and troubleshooting on the day of the event to ensure smooth operations.
- Conducting post-event evaluations (including data entry and analysis) to drive continuous improvements.
- Collaborating proactively with sales teams across different affiliates (located in over 30 countries) to organize local and regional events.
- Managing internal and external communications (e.g., press releases).
